On the wedding day, one of the biggest questions on families’ minds is how guests will get to the venue on time. Especially if the venue is out of town, far from public transport or many guests are coming from other districts, a wedding shuttle puts guests at ease and helps the programme start without delay.
How is a wedding shuttle planned?
Guest transport is based on three questions: where will guests be collected, what time do they need to be at the venue, and what time and where will they return at night? The run plan is built around these questions:
- Meeting points: One or more meeting points are set in the districts where most guests live.
- Outbound time: Calculated before the start of the ceremony or dinner, with a margin for traffic and seating.
- Waiting or two runs: The vehicle can wait at the venue throughout the wedding, or drop guests off and come back at the return time.
- Return: For late-night returns, drop-off points and times must be clear.
We explain with examples how to go from the guest list to a run plan in our guide to planning shuttles for wedding guests.
Engagement and henna night transport
Engagements and henna nights are usually smaller than weddings but often finish later. A minibus or midibus is therefore often enough, while agreeing the late return time and drop-off points in advance is even more important. If there is a transfer between the bride’s and the groom’s family homes, this route should also be included in the plan.
Bridal car and convoy
The bridal car and the wedding convoy are separate services and may not be offered by every company. If you need them, simply mention it in the notes field of the quote form; we will let you know whether it is within our scope.
What determines the price of a wedding shuttle?
The number and size of vehicles, the number of meeting points, the distance to the venue, whether the vehicle waits through the night and the return time are the main factors that determine the price. For programmes running late into the night, waiting time is stated separately in the quote.
Who is it for?
- Families organising weddings, engagements, henna nights and promise ceremonies
- Couples marrying at venues out of town or hard to reach
- Wedding planners who handle guest transport
- Hosts who want to take guests from another city between their hotel and the venue
Choosing a vehicle
If the number of guests is not yet final, you can request a quote with an estimate and update it as the date approaches. For large weddings a coach, and for smaller events such as engagements and henna nights a minibus or midibus, is usually enough.
