Planning Shuttles for Wedding Guests: A Step-by-Step Guide
From guest list to run plan: how to set up meeting points, times and the return when planning shuttles for weddings, engagements and henna nights, and which details affect the price.
In the rush of wedding preparations, guest transport is often left to the last few weeks. Yet when the shuttle plan is made early, it is easier to find vehicles and guests can be given clear information with their invitations. In this guide we share a method for planning guest shuttles for weddings, engagements and henna nights step by step.
Step 1: Estimate how many guests will use the shuttle
Not everyone on your guest list will use the shuttle. Remove those coming in their own cars; elderly guests, those coming from out of town and those who do not want to drive are the main users. A range rather than an exact number is enough for a first quote.
Step 2: Set the meeting points
Group the neighbourhoods where most guests live. For each, choose a well-known point everyone can reach easily (a square, a stop on a main road, in front of a mosque or school). The more meeting points there are, the longer the journey; it is usually best not to exceed two or three. If the list is very scattered, consider more than one vehicle.
Step 3: Work the times backwards
Calculate backwards from the arrival time at the venue: the start time of the ceremony or dinner, the time needed for seating, the journey time (with a margin for traffic) and waiting at the meeting point. For example, if dinner starts at 19:00, guests should be at the venue by 18:30 at the latest, and the vehicle should leave the meeting point accordingly, depending on traffic.
Step 4: Finalise the return plan
The return is where wedding shuttles most often go wrong. If the end time is not clear, decide whether the vehicle should wait or come back at a set time. Keeping the drop-off points the same as the meeting points makes the late-night return easier. A separate early return run can also be considered for elderly guests who want to leave early.
Step 5: Inform your guests
Shuttle information can be added to the invitation, the family WhatsApp group or the wedding website. It should include the meeting point, departure time, return time and the contact person’s phone number. Appointing a relative to answer shuttle questions on the day takes the load off the bride and groom.
What affects the price of a wedding shuttle?
- Number and size of vehicles: Determined by how many people will use the shuttle.
- Number of meeting points: Each additional point extends the time.
- Distance to the venue: Countryside venues out of town require longer journeys.
- Waiting or two runs: The vehicle waiting through the wedding is calculated differently from coming back for the return.
- End time: Programmes running late into the night increase waiting time.
- Date: Weekends in wedding season are the busiest periods.
