How Are Coach and Minibus Hire Prices Determined?

Why is there no single list price for chauffeured coach and minibus hire? We explain how distance, duration, date, waiting time and extra costs affect the price.

There is no single answer to the question “How much does it cost to hire a coach?”. Two journeys made with the same vehicle can be priced very differently because of differences in distance, duration and date. In this article we explain the main factors that determine the price and summarise what information you should give when asking for a quote.

1. Distance and route

The basis of the price is the total distance the vehicle will cover. This includes not only your journey but also the vehicle travelling from its depot to the pick-up point and returning after the journey ends. For example, on a one-way intercity transfer the vehicle often returns empty; that empty return is also part of the cost.

The nature of the route matters too. Mountain roads, congested city centres and narrow streets require more time and fuel.

2. Duration of use

The price reflects how long the vehicle will be engaged for you. There is a big difference between a 40-minute transfer and an event day lasting from morning to evening, even if the distance is similar, because in the second case the vehicle and driver cannot take any other job all day.

3. Vehicle class and size

Larger vehicles have higher fuel consumption, maintenance and operating costs. That is why it is important to choose the vehicle that fits your group. If your passengers fit into a minibus, hiring a coach may create unnecessary cost; on the other hand, packing everyone in too tightly reduces comfort and luggage space. We cover vehicle choice in detail in this guide.

4. Date, season and time

In busy periods (summer, wedding season, before public holidays, school trip season and weekends), vehicle availability falls. Programmes running late into the night may also be assessed differently because of drivers’ working hours.

5. Waiting and stops

The vehicle waiting for the group at the destination, picking up passengers at stops along the way or making several runs during the day all extend the total time. Mentioning these at the start when you ask for a quote reduces the chance of extra charges later.

6. Extra costs

Motorway and bridge tolls, parking fees and, on programmes with overnight stays, the driver’s accommodation and meals may appear as separate items. Whether these items are included varies from quote to quote. We list the items you should ask about in our article what should be included in the price.

What information should you give for an accurate price?

  • Date and time (outbound and, if any, return)
  • Number of passengers and luggage
  • Pick-up, destination and stop addresses
  • Whether the vehicle should wait
  • Whether there is an overnight stay

The clearer this information is, the more realistic the quote will be. You can use the quote form to send everything in one go.

How should you read price lists online?

Fixed prices seen online are usually examples calculated on assumed distances and durations. If the details of your journey differ from these assumptions, the real price will also differ. When comparing, check that quotes cover the same scope (duration, extra costs, vehicle class).

Frequently asked questions

Can you give a price straight away on the phone?
When the date, time, number of passengers and route are clear, a quick assessment is possible; however, a figure given before waiting, stops and extra costs are clear is not a firm quote.
Is the price per person or per vehicle?
With chauffeured hire, the price is usually calculated per vehicle. You can work out the cost per person by dividing the total price by the number of passengers.
