How Many Seats in a Minibus, Midibus or Coach? Choosing a Vehicle by Group Size
Coach, midibus or minibus? We explain how vehicle capacity is determined and what to consider besides the number of passengers when choosing the right vehicle for your group.
One of the first questions when planning a group journey is “What size of vehicle do we need?”. The answer depends not only on the number of passengers but also on luggage, the length of the journey and the roads you will travel on. In this article we explain the differences between vehicle classes and what to consider when choosing.
How is vehicle capacity determined?
The number of passengers a vehicle can carry is limited to the number of seats on its registration. Two vehicles in the same class may have different capacities depending on make, model and seating layout. That is why it is not accurate to talk about a single number for a “minibus” or “midibus”. When you get a quote, always ask for the exact capacity of the proposed vehicle.
Vehicle classes in general
- VIP vehicle / van: For a small number of passengers; guest meet-and-greet, business travel and small family groups.
- Minibus: Small and medium groups; agile in the city and able to enter narrow streets.
- Midibus: Larger than a minibus, smaller than a coach; medium to large groups and short to medium journeys.
- Coach: Large groups; luggage space and comfort on long journeys.
What to consider besides the number of passengers
Luggage
For an airport transfer or a multi-day trip, luggage may affect the choice of vehicle more than the number of passengers. Even if there are enough seats, the luggage hold may not be big enough. We have prepared a separate guide on calculating luggage.
Journey time
On a half-hour city transfer, filling every seat may not be a problem. But on a journey lasting several hours, passengers having a little more space and keeping their bags with them increases comfort.
Route and drop-off point
Narrow streets, village roads, residential complexes and historic areas may not be suitable for large vehicles. The space where the vehicle can stop at the destination also matters.
One vehicle or several?
If passengers are collected from different neighbourhoods, two small vehicles instead of one large one both shorten the time and make the route easier. For a large group leaving from a single point, one coach is usually more economical.
Coach or minibus? A quick decision guide
| Situation | Usually the right choice |
|---|---|
| Large group, single meeting point | Coach |
| Medium group, long journey | Midibus |
| Scattered pick-up points, within the city | One or several minibuses |
| Few passengers, lots of luggage or protocol | VIP vehicle |
This table is a general guide; the final decision is made by assessing the number of passengers, luggage and route together. If you share your details in the quote form, we will recommend the right vehicle. You can see our vehicle classes on our fleet page.
