Because of student safety and official procedures, school trips need to be planned more carefully than other group journeys. As well as the date and route of the trip, the documents required by the school administration and the relevant regulations must be prepared in time.
Transport plan for a school trip
The transport plan for a school trip usually starts with the following information: the date of the trip, departure time from school, the places to visit, how long the programme lasts at each destination and the time of return to school. Since this information also appears in the trip plan prepared by the school, the transport plan must match it exactly.
Why do documents matter?
For school trips, the school administration and the provincial directorates of national education may request various documents from the transport company and the vehicle. In practice, these may include the vehicle’s registration, inspection and compulsory insurance, the company’s passenger transport authorisation certificate, and the driver’s licence and professional competence documents. The exact list depends on the type of trip, whether it leaves the province and current regulations.
We recommend adding the list of documents your school requires to the notes field of your quote request. The suitability of the documents and the delivery time are confirmed by the company at the quotation stage. Documents need to be provided well before the trip so that the trip file can be prepared.
Number of students and chaperones
When choosing a vehicle, not only the number of students but also the accompanying teachers and parent chaperones must be taken into account. Every passenger must have their own seat; the number of seats on the vehicle’s registration cannot be exceeded. For other points to consider, see our guide to choosing a vehicle for a school trip.
Day trips and overnight trips
On day trips such as visits to museums, science centres or historical sites, the return time is critical. On trips with overnight stays, the vehicle and driver staying with the group, the driver’s rest periods and accommodation are planned separately in the quote.
Who is it for?
- School administrations and teachers planning trips
- Parent-teacher associations
- University student societies and clubs
- Educational institutions and courses
Choosing a vehicle
Depending on the number of classes, we recommend a coach or a minibus or midibus. For trips with more than one vehicle, the vehicles are planned to move on the same schedule.
