What Information Do You Need to Plan a Staff Shuttle Route?

We explain which information, such as the distribution of employees’ addresses, shift times and the stop plan, should be prepared before requesting a staff shuttle quote.

A staff shuttle is one of the most visible services a company offers its employees. A punctual shuttle with reasonable journey times directly affects employee satisfaction. A good route plan starts with the right information.

1. Distribution of employees’ addresses

The basis of route design is where employees live. To protect personal data, a distribution list by district and neighbourhood rather than full addresses is usually enough for the initial analysis. This distribution shows how many routes are needed and how many passengers each route will have.

2. Shift and working hours

The start and end time of each shift, weekend and public holiday working patterns and how the shuttle will work in case of overtime should be clarified. In facilities where shift changes overlap, planning vehicles to drop off one shift and pick up the next improves efficiency.

3. Stop plan

Stops should be within reasonable walking distance for employees and at points where the vehicle can stop safely. Many stops extend the journey; few stops increase walking distance. To strike this balance, it helps to set an upper limit on the total journey time from the farthest stop to the workplace.

4. Term and contract

Staff shuttles are usually run under monthly or annual contracts. The contract should include the routes, working days, a replacement vehicle in case of breakdown, route changes and the conditions for price updates.
