How to Organise Participant Transfers for a Corporate Event
We explain how to prepare a run schedule, a participant list and a communication plan to manage participant transport from a single point at a dealer meeting, congress or trade fair.
At corporate events, transport is often seen as “background work” – until a participant is left waiting at the airport or a coach is late for the opening of a packed hall. This guide is designed to help event teams keep participant transfers under control from start to finish.
1. Map out the transport needs
Write the event programme day by day and note which transport movements there will be each day: airport arrivals, hotel–venue runs, dinner transfers, excursions and airport departures. This list is the basis for how many vehicles and runs are needed.
2. Combine the participant list with travel details
Adding fields for the hotel, arrival and departure dates and flight details to your registration form makes transport planning much easier. With this information it becomes clear how many people will stay at which hotel and when airport transfers are needed.
3. Create a run schedule
Prepare a schedule that shows, for each run, the departure point, departure time, destination, vehicle type and estimated number of passengers. Planning frequent runs between hotels and the venue at peak times and fewer at quiet times balances both cost and waiting time.
4. Get the vehicle mix right
Coaches for large groups, midibuses or minibuses for collection from different hotels and VIP vehicles for speaker and executive transfers can be used together. Building the right vehicle mix instead of sending the same vehicle for every need improves efficiency.
5. Signage and welcome
Information cards in hotel lobbies and at the venue showing shuttle times help participants board the right vehicle. A welcome sign with the event logo can be used for airport meet-and-greet.
6. Appoint a single point of contact
Appoint someone from the event team as transport coordinator. Programme changes, delays and last-minute requests should be passed to the transport company through this person. Several people giving different instructions is the most common cause of confusion.
7. Be ready for changes
Event programmes change often. At the quotation stage, clarify the change and cancellation conditions and the deadline for last changes.
